Lunch is the part of a time card people most often get wrong by hand. An unpaid lunch comes off the time between clock-in and clock-out; a paid one doesn’t. Mixing the two up on a 5-day week moves the total by two and a half hours, which is enough to push a week over or under 40 hours of overtime.

You can enter lunch two ways. Type the minutes (30) if you only know how long it was, or click “+ break times” and type when it started and ended (12:00 to 12:30) if your employer records the clock-out for lunch. Both give the same hours.

Working out a day with a 30-minute lunch

Take the clock-out time minus the clock-in time, then take off the unpaid lunch. From 9:00 to 5:30 is 8 hours 30 minutes; less a 30-minute unpaid lunch, that’s 8 hours worked. If the same lunch is paid, the day is still counted from clock-in to clock-out, so 9:00 to 5:00 with a paid half hour is also 8 hours.

A one-hour lunch works the same way: 8:00 to 5:00 is 9 hours, less 1 hour unpaid, so 8 hours worked. Change the minutes on that row from 30 to 60.

Questions

How many hours is 7am to 3pm with a 30-minute lunch?

7 hours 30 minutes, or 7.50 in decimal hours. From 7:00 to 3:00 is 8 hours, and the unpaid half-hour lunch comes off. If your lunch is paid, it’s the full 8 hours.

What time do I clock out for 8 hours with a 30-minute lunch?

Add 8 hours 30 minutes to your start time. Starting at 7:00, that’s 3:30. Starting at 8:30, it’s 5:00. The extra half hour covers the unpaid lunch.

Should I enter lunch as minutes or as times?

Either gives the same hours. Use minutes when you only know how long lunch was. Use start and end times when your time clock records the lunch punch, so the printed timesheet matches it.

My lunch is paid. What do I change?

Set that row’s lunch from “unpaid” to “paid”. A paid lunch stays in the hours worked, so the day counts from clock-in to clock-out with nothing taken off.

Can I remove lunch on days I didn’t take one?

Yes. Clear the minutes box on that row, or set it to 0. A blank lunch counts as no break, and the rest of the week keeps its 30 minutes.
